You don’t need artificial intelligence (AI) to tell you that it is one of the hottest technology trends today. Look around; it makes headlines nearly every day and is a topic of conversation at many industry events.

But is AI a new concept? No, not really. Just ask Alexa, Siri, and all the other products and technologies that have been leveraging AI before the recent hype. Now that AI has become a large part of daily conversation, thanks largely to the emergence of generative AI programs like ChatGPT and Microsoft Copilot, it’s time to start learning more about it and how sales reps can leverage it in their daily interactions with customers.

AI offers a wealth of benefits. AI tools can assist in drafting clear and concise emails, messages, and client communications. It can also suggest relevant phrases and explanations and generate well-structured proposals incorporating industry-specific terminology. Other AI tools, such as timeOS, can automate meetings, capture and summarize your daily activities, and organize all relevant information. It can then proactively provide this information to you, relieving you from the burden of information overload. Meanwhile, apps such as Zoom and Grammarly, an app that checks grammar and suggests changes to written content, are expanding their functionality with AI.

As a reseller of production print software such as Rochester Software Associate’s WebCRD and ImpactVDP, you are in a prime position to benefit from artificial intelligence. The great news is that implementing and using AI tools is not as daunting as it may seem. Whether through personalized messaging, AI-driven chatbots, or NLP technology, these tools are designed to be user-friendly and effective, empowering you to enhance your sales and communication skills.

Let’s delve more deeply into how AI can be useful for those in sales.

  1. Personalized Messaging: AI-powered tools can do more than just analyze customer data. They can help you understand your customers on a deeper level, their preferences, purchasing history, and behavior. This understanding can then be used to create personal messages that resonate with individual customers. By tailoring your communications to address specific needs and interests, you can build stronger relationships and drive more sales.

  2. Natural Language Processing (NLP): NLP technology enables you to analyze customer communications, including emails, chat transcripts, and social media interactions, to extract valuable insights about customer preferences and sentiments. By understanding the tone and intent of customer messages, you can provide more empathetic and relevant responses. This not only improves the sales process but also enhances customer satisfaction, fostering a stronger connection between you and the customer.

  3. Predictive Analytics: AI can predict customer behavior and preferences based on historical data and market trends. By leveraging predictive analytics, you can anticipate customer needs and proactively reach out with relevant offers and solutions.

  4. Virtual Assistants: Voice-enabled AI virtual sales assistants can assist you during customer interactions by providing real-time insights, suggesting relevant talking points, and automating administrative tasks like note-taking and scheduling follow-up meetings. An example of an AI-driven virtual assistant is Lindy

  5. Sentiment Analysis: AI-driven social media management and sentiment analysis tools like Sprout Social or survey and market research software from QuestionPro can evaluate customer feedback and sentiment expressed in online reviews, social media posts, and customer surveys. You can use this information to gauge customer satisfaction levels and address any concerns or issues in a timely manner.

  6. Recommendation Engines: AI-powered recommendation engines can suggest relevant products and solutions to customers based on their preferences, past purchases, and browsing history. These recommendations can be used to cross-sell or upsell additional products. AI-powered tools, such as Sprout Social and QuestionPro, combine both sentiment analysis and recommendation engine capabilities. These integrated tools provide a holistic approach to understanding customer sentiments and offering personalized recommendations.

  7. Sales Enablement Platforms: AI-driven sales enablement platforms like Gong and Paperflite can provide you with real-time insights and recommendations to improve your communications. These platforms may offer features such as content recommendations, conversation coaching, and performance analytics to help you engage more effectively with customers and internally with their peers.

As you conduct further research into the various AI tools available, you will find that some are available in free versions, which offer minimal capabilities. However, more robust versions will cost anywhere from $20 to $99 monthly

Words of Caution

As with any new technology, there is a learning curve associated with AI. For generative AI tools, the information you receive is only as good as the prompts you give it. So, before you start using it in your daily communications or for writing proposals, practice, practice, practice. Also, revise and rewrite its content so that your communications and proposals are in your own voice, and eliminate the words and phrases that have become clichés in the AI pantheon. AI is not perfect…yet. Until then, don’t ignore the human element because your voice, not a chatbot, can be the difference between winning and losing a deal.

Share Your AI Knowledge

As a trusted consultant to your customers, you can also share the knowledge you have acquired using these tools so that they, too, can use it to better communicate with their customers and sell more services. Hopefully, RSA software will be driving many of those services.
